Reservation policies

Things to know
When to book

How far in advance

Most facilities can be booked up to 6 months ahead. Popular pavilions during peak weekends (May–September) fill 2–3 months out. Athletic fields are reserved season-by-season — get on the league schedule by March 1 for spring.

Cancellation

Refunds & changes

Full refund up to 14 days before your reservation. 50% refund 7–13 days out. No refund within 7 days, but you can transfer to another available date for free. Weather-canceled events get a free reschedule or full refund.

Setup & cleanup

You're responsible

Bring your own tables, chairs, and decorations unless the facility includes them. Everything you bring in must go out. Damage deposit is refunded within 5 business days after facility staff confirms the space is clean and undamaged.

Alcohol & food

What's allowed

Beer and wine are permitted at most outdoor facilities without a separate permit. Hard liquor or any sales of alcohol require a special event permit. Food trucks and catering are fine — just confirm setup space with staff during your walk-through.

Insurance

When you need it

Events over 100 people, anything with athletic activity, or any commercial use requires a certificate of liability insurance naming the City of Annapolis as additional insured. We can recommend low-cost event insurance.

Day of

Check-in & access

For outdoor facilities, the space is just there — show up at your reserved time. For indoor facilities, check in at the front desk with your reservation #. Print or screenshot your confirmation. Staff is on call for any issues.
